    Many people like to use a business proposal sample of the basic template structure for their own proposals. This is perfectly fine to do. However, you need to ensure that the actual body text and content are completely focused on the request for proposal criteria.

    When planning out your own proposal templates, your starting point is always the request for proposal (RFP). It sets out what instructions, assessment criteria. This document should be thoroughly reviewed and all instructions clearly adhered to. On many occasions, they may actually provide a business proposal sample structure which to expect all vendors to complete.

    If no business proposal template is provided in the RFP then you’re free to use whatever sections you wish. You should however make sure you include the following:

    • Full details of the list of actions or work to be completed. This should be broken down to a high-level view.
    • Details of the production approach your company will actually use perform the tasks.
    • Full disclosure of the employees, subcontractors and resources required actually complete the work.
    • Major milestones, planning charts, Gantt charts, action plans, etc.
    • Monitoring and evaluation criteria for quality and reporting.
    • Details of when your company is to be paid.

    Each of these sections need to be included in order to give your client a complete overview of the benefit of using your company. Your business proposal sample should highlight key benefits of using your firm over any other. Each draft of the document should be reviewed against the evaluation criteria in the RFP and assigned a critical score. Each draft should then subsequently try to improve upon your score by adding additional benefits to the customer of using your company.

    One major problem seen in many business proposal samples is the addition of useless information to pad out the document. Try to keep the document as concise as possible and use appendices if you wish, especially when documenting in-depth financial information for cost estimates.
